Wagonmaster Duties and Suggestions

WAGON MASTER – Rotation basis (approximately every three years)

During each year there are 7 hosted outings by wagonmasters. Therefore only once in about every 3 years will you have the opportunity of being a wagonmaster. The month of August (Founders Day outing) is headed by all club members (volunteers).

A Wagonmaster is required to host an outing during the month that they have been designated to have their outing. The task of being a wagonmaster doesn’t have to be stressful or expensive. In the recent past, some wagonmasters have been very generous with multiple meals, door prizes and entertainment.

It’s your outing, so do it your way. The idea of RVing is to have fun and fellowship.
Being the wagonmaster is easier than you think. Following steps are to inform and present suggestions.

At the bare minimum, the wagon master selects a RV camp ground to have their outing
A. campground requirements
1. Location within 8 hours of Seattle (occasionally members are willing to drive further) someplace within a short drive for nearby recreation to sightsee or is preferable ie. ocean or water view, fishing, casino, shopping, close to a grocery for provisions.
2. The RV Park should have enough sites to accommodate 15 or more RVs
a. kitchen with a sink, stove, refrigerator
b. meeting hall, recreation room or area for meals and gatherings should accommodate 30 or more people
c. some club members prefer 50amp hook up-service, internet access and cable TV
d. some members may need handicapped accessible sites

3. Negotiate with campground management: is the Clubhouse free?
4. Announce location and dates to members. (approximately 3 months before outing)
e. Explain procedures to register. (Coordinate with campground managers.)
f. Coordinate Saturday’s community dinner menu.
g. Determine menu and events at outing. Any additional meals are optional.
5. Ask for help: planning, parking attendants, registration helpers, meal prep helpers, entertainment, clean-up crew.
6. Menu planning suggestions:
h. Main course: Hosts usually provides the meat
i. Side dishes: provided by club members (sign-up sheet passed out one month before outing) include on sign-up sheet: Veggies, Salads, Breads, Desserts, Beverages
j. Host can provide table cloths (linen or disposable), garbage bags, paper plates, utensils, cups, glasses, napkin
